Lincolnshire Co-op is a member-owned independent retailer in Lincolnshire and the surrounding counties, providing a range of services including food stores, pharmacies, funeral homes, travel branches, post offices and more.

Employing over 2,900 colleagues throughout the region, Lincolnshire Co-op has been established for over 160 years.

Lincolnshire Co-op decided to implement a new Applicant Tracking System (ATS) as the legacy ATS had become obsolete and was no longer sufficient for its recruitment needs. A lack of recruitment automation and flexibility to adapt to changing requirements resulted in duplication and an opportunity to improve the candidate journey.

Objectives

  • Significantly enhance the candidate experience by introducing a new careers site aligned to Lincolnshire Co-op’s purpose and approach. Utilise automation throughout the recruitment process to keep candidates warm and engaged.
  • Reduce administration and task duplication and improve Hiring Manager collaboration.
  • Enhanced the onboarding journey to bring candidates into the business quicker than the current system allows.

Lincolnshire Co-op selected Eploy for its functionally rich recruitment platform to enhance the recruitment experience and deliver a dedicated careers site that portrays the company brand and values.

The recruitment team worked alongside Eploy’s implementation team to create a simplified, automated recruitment process and reduce duplication and unnecessary communication to enhance the candidate journey.

Hiring Managers now have the tools they need for greater collaboration using Eploy’s Hiring Manager portal to raise vacancies using custom templates based on the associated Co-op company.

Candidates can register for job alerts and apply for vacancies using the Eploy Candidate Portal which is rich in content and intuitively designed to make it as appealing as possible to candidates. Multiple application forms support requirements for specific areas of the business and those requiring DBS checks.

The implementation includes integration to SHL for predictive assessments where more complex testing is required for certain roles.

Eploy's onboarding module and e-sign functionality create all contracts and check placement information before submitting the candidates, reducing time to hire. With automated exporting of data into HR system Team Spirit.

Extensive reporting dashboards within Eploy provide real-time stats to ensure KPIs are being met and report on activities across every stage of the recruitment process.

Matt Brown, Resourcing Manager at Lincolnshire Co-op commented, “Eploy is easy to configure and adapt to our requirements. The system has been set up based on business needs and we use the name blind functionality to ensure equal opportunities for all candidates. We are looking forward to further enhancing our careers site and API development for Integration to our new HR and payroll system.

“Eploy provides a great hiring manager experience in real time on an easy-to-use platform. The careers website is inviting and encouraging to potential candidates and since its launch, our average application yield has trebled, giving us more choice of quality candidates; even for specialised roles.”
